Important: please be informed that hotel bookings through bnetwork online portal are exclusively for participants registered to IADR/PER General Session & Exhibition 2025. We reserve the right to cancel your reservation/s in case registration for the event has not been done.

Please notice that the cancellation policy applies in accordance with the amount of rooms booked. In case of allotment modification, the corresponding cancellation policy is applicable.

Payment policy

You can pay for your reservation(s) by credit card or wire transfer. If paying by credit card, you will be charged (plus a +2.5% transaction fee) at time of booking. Once payment is received you will receive your confirmation.

Important: You are authorizing bnetwork to charge the provided credit card as per the following cancellation policy. Please note this charge will show "EUROCOATBBP" on your credit card statement.

Upon acknowledgement of booking, a deposit corresponding to 100% of the total stay per reserved room(s) is required to secure your hotel reservation(s).

Bookings without payment will not be confirmed. Final invoice will be issued and provided by the hotel upon check out.

Cancellation policy

From confirmation of booking until February 21st 2025, in case of cancellation of reservation(s), the participant will be charged a 10% administrative fee corresponding to the full stay.

Between February 22nd and March 25th 2025, in case of cancellation of reservation(s) or reduction of stay, you will be refunded 50% of your reservation in the event of a cancellation or reduction of stay, 50% non-refundable cancellation fee will be applied.

Between March 26th and April 23rd 2025, in case of cancellation of reservation(s) or reduction of stay, you will be refunded 20% of your reservation in the event of a cancellation or reduction of stay, 80% non-refundable cancellation fee will be applied.

From April 24th 2025, all reservations are 100% non-refundable. This includes cancellation and shortening of stay. 100% non-refundable cancellation fee will be applied.

Cancellations shall be communicated to bnetwork in writing via email at the following address: iadrhotels@bnetwork.com. Penalties may apply based upon cancellation policy. Telephone cancellations are not accepted as valid. You will receive an email confirming the cancellation within 24 business hours, Monday through Friday, 9:00 AM to 6:00 PM CET (Central European Time).

Reservation modification changes: all reservation modifications can be made through the website "My account" function at https://iadr2025.bnetwork.com or in writing via email/fax. If emailing, please include your unique reservation code. Subject to availability, changes will be confirmed by bnetwork within 24 hours Monday through Friday 9:00 AM to 6:00 PM CET (Central European Time).

Personal information protection: bnetwork complies with applicable data protection laws and regulations regarding collection, use, transfer, disclosure, retention, security, and destruction of “personal information” (P.I.) and “personally identifiable information”). bnetwork will only use P.I. that is provided by the company or directly by an individual solely to the extent necessary to perform its obligations under this contract. bnetwork shall not employ the P.I. for bnetwork’s own purposes nor for the purposes of third parties. bnetwork shall not transfer data or P.I. to any third parties, except upon prior written approval of the company. By signing this contract, you confirm that you are entitled and have corresponding approval to disclose on behalf of a third-party data related to booking purposes (i.e. gender, email addresses, company of employment and accommodation details).

Hotel booking policy

Important: please be informed that room blocks performed through bnetwork, official accommodation agency for IADR/PER General Session & Exhibition 2025, is exclusively dedicated to companies participating in IADR/PER General Session & Exhibition 2025. bnetwork reserves the right to cancel the room block in case the company cancels its participation to such event.

Payment policy

Upon confirmation, a deposit corresponding to 50% of the total cost of your night by night allotment is requested to secure your hotel allotment.

By March 20th 2025, an additional 50% deposit is requested, for a total amounting to 100% of the total cost of your night by night allotment.

Failure to pay any deposit by will result in cancellation of reservation and forfeiture of all deposits paid.

From March 21st 2025, any additional room night requested must be paid at the same time of booking. Bookings without payment will not be confirmed.

Cancellation policy

From confirmation until March 20th 2025, in case of full cancellation of the pre-booked allotment per hotel, you are committed to pay 10% of the deposit paid as administrative cancellation fees penalty. Partial cancellation is allowed without penalty.

Between March 21st and April 21st 2025, 50% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

Between April 22nd and May 20th 2025, 35% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

Between May 21st and June 12th 2025, 10% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

From June 13th 2025, 100% of the night by night allotment is due in case of cancellation or reduction. We regret that no refund can be made.
